These Terms and Conditions govern the loan of chairs and artwork by contributors ("you" or the "Contributor") to AEVEN Collective Limited, a company registered in England and Wales under company number 17089530 ("AEVEN", "we", "us" or "our"), for A Seat at the Table, the central bar installation at Decorex 2026, Olympia London, taking place from 11 to 14 October 2026 (the "Event").

By submitting a Work to the open call, you confirm that you have read, understood and agree to be bound by these Terms and Conditions.

About the Open Call

A Seat at the Table invites makers and designers to submit a chair or piece of artwork for possible inclusion in AEVEN's central bar installation at Decorex 2026.

The installation will centre around a large communal table featuring approximately 70 loaned chairs from makers and designers, together with artwork displayed on the surrounding walls.

Submissions close on 24 July 2026. Selected Contributors will be notified by 31 July 2026.

Submission constitutes an expression of interest only. Selection is entirely at AEVEN's discretion. AEVEN reserves the right to accept or reject any submission and is under no obligation to display, exhibit or include any Work.

1. The Loan

Each selected Work is loaned to AEVEN solely for the purposes of the Event and remains the property of the Contributor at all times unless sold in accordance with Clause 7.

The loan period begins when the Work is collected by AEVEN’s appointed logistics partner and ends when the Work is returned to the Contributor or, where sold, delivered to the buyer following the Event.

Participation in the open call is free of charge.

The Contributor warrants that they are the legal owner of the Work, or otherwise have full authority to loan it to AEVEN under these Terms and Conditions.

2. Fire Safety and Compliance

Decorex is a public event and AEVEN must ensure that all Works included within the installation comply with the applicable safety requirements.

Upholstered or fabric Works must comply with BS 5852, the relevant ignition standard for upholstered seating. Any curtain, drape or loose fabric element must comply with BS 5867 Type B, or another recognised equivalent standard.

Solid timber and metal Works do not require a specific fire certificate unless otherwise required by Decorex or applicable legislation.

For any upholstered or fabric Work, the Contributor must provide AEVEN with a valid fire certificate or test report before the Work is collected. AEVEN will retain copies of these certificates where required by Decorex or for the purposes of Event compliance.

Where an upholstered or fabric Work is not already certified, flame-retardant treatment may be arranged before the Event. Any such treatment must be completed off-site prior to delivery to Olympia, and an appropriate treatment certificate must be provided. Contributors should indicate at the submission stage if they believe treatment may be required.

Flame-retardant treatment cannot be carried out on-site at Olympia. Any Work that arrives without the required certification or treatment, where such certification or treatment is necessary, may be refused entry to the Event.

The Contributor is responsible for ensuring that all information and certification supplied in relation to the Work is accurate and complete.

3. Transport, Handling and Placement

Collection, storage, delivery to Olympia, unpacking, placement, breakdown and return of each selected Work will be managed by AEVEN’s appointed logistics partner, Williams and Yates, at no cost to the Contributor, unless otherwise agreed in writing.

Collection will take place during August and September 2026 by prior arrangement. Contributors agree to make their selected Work available during this period and to provide an appropriate collection address together with accurate contact details.

Williams and Yates will prepare a condition report and inventory when collecting the Work and again upon its return. These reports will provide a record of the Work’s condition before and after the Event.

The Contributor must disclose, at the submission stage, any fragility, unusual weight, specialist handling requirements or specific packaging requirements relating to the Work. Failure to disclose such information may affect AEVEN’s ability to transport or display the Work safely.

Where specialist crating or bespoke packaging is required, the appropriate arrangements will be agreed with the Contributor before collection.

Some Contributors who are also exhibiting at Decorex may choose to deliver their Work directly from their exhibition stand by prior agreement with AEVEN. Such Works will remain subject to these Terms and Conditions, including the requirements relating to fire safety, condition reporting and suitability.

4. Condition and Suitability

Chairs included in the installation will be placed around a communal table and may be used by members of the public throughout the Event. By submitting a chair, the Contributor acknowledges and accepts that it is intended for reasonable public use during the Event.

Any Work submitted as seating must be structurally sound, stable and suitable for its intended use. The Contributor confirms that, to the best of their knowledge, the Work is free from defects that could reasonably pose a risk to users or to the safety of the installation.

Artwork must be capable of being securely wall-mounted and must arrive ready for installation, or be accompanied by clear instructions regarding any specialist fixing requirements.

AEVEN reserves the right to refuse, remove or withdraw any Work from the installation where it reasonably considers the Work to be unsafe, non-compliant, unsuitable for display, inconsistent with the overall presentation of the installation, or otherwise likely to compromise the safety or successful delivery of the Event.

Where reasonably practicable, AEVEN will discuss any concerns with the Contributor before removing or withdrawing a Work from display.

5. Insurance and Liability

Williams and Yates will arrange insurance for each Work whilst it is in their care, including during collection, transit, storage and return, or delivery to a buyer where applicable.

AEVEN intends to arrange appropriate insurance for each Work while it is on display at Olympia during the Event. Confirmation of the insurance arrangements will be provided to selected Contributors before collection of their Work.

The Contributor must declare a fair replacement value for each Work at the time of submission. Any insurance arranged in respect of the Work may rely upon the declared value provided by the Contributor. AEVEN accepts no responsibility where an inaccurate or understated valuation affects the amount recoverable under any insurance policy.

Condition reports prepared at collection and return will be used as the primary record of the Work's condition for the purposes of assessing any loss or damage.

AEVEN and its appointed logistics partners will take reasonable care in handling and displaying all Works. However, neither AEVEN nor Williams and Yates shall be liable for:

• ordinary wear resulting from reasonable public use during the Event;

• deterioration arising from the nature or age of the Work;

• any pre-existing damage or condition recorded in the collection condition report; or

• damage arising from inaccurate handling instructions or information not disclosed by the Contributor.

6. Marketing, Credit and Image Rights

Each selected Contributor will be credited on-site at Decorex, within the dedicated A Seat at the Table installation, and across relevant AEVEN marketing materials wherever reasonably practicable.

By submitting a Work, the Contributor grants AEVEN and Decorex a non-exclusive, worldwide, royalty-free licence to photograph, film and otherwise record the Work, and to use the Contributor's name, the Work's title, submitted biography, story, images, process material and any other content supplied by the Contributor for promotional, editorial and marketing purposes in connection with the Event, AEVEN and future editions of A Seat at the Table.

This licence includes use across websites, social media, email communications, press materials, advertising, printed publications and other promotional materials before, during and after the Event.

Where the Contributor or members of their team appear in any supplied or captured imagery or video, this permission extends to the use of their likeness for the purposes set out above.

Where available, AEVEN will make professional photography and film featuring the Work available to the Contributor for use in promoting their own practice, provided such use does not imply any endorsement by Decorex or AEVEN beyond participation in the Event.

The Contributor warrants that they own, or have obtained, all necessary intellectual property rights and permissions in relation to the Work and any text, photographs, video or other materials supplied to AEVEN. The Contributor further warrants that AEVEN's use of such material in accordance with these Terms will not knowingly infringe the intellectual property or other rights of any third party.

7. Sale and Commission

Offering a Work for sale as part of the Event is entirely optional and must be confirmed by the Contributor at the time of submission.

The Contributor is solely responsible for determining the sale price of their Work. Once agreed for publication, the sale price may only be amended with AEVEN's prior written agreement.

Works offered for sale may be listed on the AEVEN online shop and made available for purchase during the Event. Purchases may be made by visitors attending Decorex or through AEVEN's online sales platform.

For any Work offered for sale, the Contributor must provide suitable marketing imagery, including a professional cut-out image, a lifestyle image and any additional photographs reasonably requested by AEVEN to present the Work accurately.

AEVEN will administer all sales enquiries and transactions relating to the Event.

Where a Work is sold, Williams and Yates will arrange delivery to the buyer following the Event, rather than returning the Work to the Contributor.

AEVEN will retain a commission equal to 35% of the final sale price. The Contributor will receive the remaining 65%.

Payment of the Contributor's share will be made once cleared funds have been received from the buyer, any applicable statutory cancellation period has expired, and the Contributor has submitted any invoice or documentation reasonably required by AEVEN.

Each party remains responsible for its own tax affairs arising from any sale.

7A. Sale, Condition and Buyer Rights

Works offered for sale are previously owned pieces and will be sold in the condition recorded within the condition report prepared at collection or submission. Any known wear, marks, repairs or other material characteristics will be identified within the Work's description where appropriate.

Online Sales

Where a Work is purchased through the AEVEN online shop, the sale constitutes a distance contract. Consumers purchasing online may have statutory cancellation rights under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. Where applicable, AEVEN will honour those rights and provide buyers with details of how to exercise them.

In-Person Sales

Where a Work is purchased in person during Decorex, the sale does not constitute a distance contract and the statutory cancellation rights referred to above will not apply. This does not affect any other statutory rights available to the buyer.

Quality and Description

Regardless of how a Work is purchased, AEVEN will ensure that the Work is described accurately, taking into account that it is a previously owned piece. Nothing within these Terms seeks to exclude or restrict any rights that cannot lawfully be excluded under the Consumer Rights Act 2015.

Descriptions such as "sold as seen", "final sale" or similar wording are intended solely to describe the visible condition of a Work and do not affect any statutory rights available to a buyer.

7B. VAT

Any VAT arising in connection with the sale of a Work or AEVEN's commission shall be dealt with in accordance with applicable UK tax legislation and AEVEN's VAT status at the time of sale.

Each party remains responsible for complying with its own tax obligations.

8. Return of Works

Following the close of the Event on 14 October 2026, unsold Works will be packed and returned by Williams and Yates to the address from which they were collected, unless an alternative return address or arrangement has been agreed in writing.

The timing of each return will be arranged with the Contributor following the Event. Contributors must ensure that the agreed return address remains accurate and that an appropriate person is available to receive the Work.

Where a Work has been sold, it will be delivered to the buyer under arrangements made by AEVEN and Williams and Yates rather than returned to the Contributor.

A return condition report will be completed where applicable and may be compared with the condition report prepared at collection.

The Contributor must inspect the Work promptly following its return and notify AEVEN in writing of any alleged loss or damage within seven days of receipt, providing reasonable details and supporting photographs where possible. This does not affect any rights or remedies that cannot lawfully be limited.

9. Withdrawal

If a Contributor wishes to withdraw a submitted Work before selection, they should notify AEVEN as soon as reasonably possible.

Where a Contributor wishes to withdraw a Work after selection has been confirmed, AEVEN will consider the request where reasonably practicable. However, withdrawal may not be possible once collection has been arranged or where logistics, installation planning, publicity, online listings, printed materials or other production arrangements have already been confirmed.

AEVEN reserves the right to withdraw a selected Work from the Event where:

• the Work does not comply with these Terms and Conditions;

• required information or certification is not provided within the requested timeframe;

• the Work is found to be unsafe, unsuitable or materially different from the submitted description or imagery;

• the Contributor does not make the Work available for collection as agreed; or

• circumstances affecting the Event or installation make inclusion of the Work impracticable.

Where reasonably practicable, AEVEN will notify the Contributor of the reason for withdrawal.

10. Data Protection

AEVEN will process personal information supplied by Contributors in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation and the Data Protection Act 2018.

Personal information may be used to:

• administer the open call and selection process;

• communicate with Contributors;

• plan and deliver the installation;

• arrange collection, storage, transport, return or buyer delivery;

• manage any sale of a Work;

• credit and promote selected Contributors and their Works; and

• comply with legal, regulatory, insurance or Event requirements.

Contributor details may be shared with Williams and Yates, Decorex, Olympia London, insurers, professional advisers, service providers or other parties involved in delivering the Event, but only where reasonably necessary for the purposes set out above.

Where a Work is offered for sale, relevant Contributor and Work information may also be used to administer the listing, transaction, payment, delivery and any associated customer service or legal requirements.

Personal information will not otherwise be sold or disclosed to third parties except where required by law or where reasonably necessary to deliver the Event or complete an agreed sale.

Contributors are responsible for ensuring that any personal information they provide is accurate and up to date.

11. Circumstances Beyond AEVEN’s Control

AEVEN will not be responsible for any delay, change, cancellation or failure to perform its obligations where this results from circumstances beyond its reasonable control.

Such circumstances may include the cancellation, postponement or relocation of Decorex; restrictions imposed by Olympia London or the Event organiser; fire, flood, adverse weather, industrial action, transport disruption, public health restrictions, government action, security incidents or the failure of an essential supplier or contractor.

Where such circumstances arise, AEVEN may make reasonable changes to the installation, display arrangements, collection or return dates, marketing activity or other aspects of the open call.

AEVEN will use reasonable efforts to inform affected Contributors of any material changes.

12.1 Entire Agreement

These Terms and Conditions, together with any information expressly agreed in writing between AEVEN and the Contributor, form the agreement between the parties in relation to the submission, loan, display and possible sale of the Work.

12.2 Changes to These Terms

AEVEN may make reasonable changes to these Terms where necessary to comply with legal, safety, insurance, venue or Event requirements.

Where a material change affects a selected Contributor or their Work, AEVEN will provide notice of the change where reasonably practicable.

12.3 No Waiver

If AEVEN does not immediately enforce any provision of these Terms and Conditions, this does not mean that it has waived its right to enforce that provision at a later date.

12.4 Severability

If any provision of these Terms and Conditions is found to be unlawful, invalid or unenforceable, that provision will be treated as removed or modified only to the minimum extent necessary. The remaining provisions will continue in full force and effect.

12.5 Third-Party Rights

Except where expressly stated, no person other than AEVEN and the Contributor shall have any right to enforce these Terms and Conditions under the Contracts (Rights of Third Parties) Act 1999.

2.6 Notices and Communication

Any notice or important communication under these Terms and Conditions should be sent by email to the contact details most recently provided by the other party.

The Contributor is responsible for notifying AEVEN promptly of any change to their contact details, collection address or return address.

13. Governing Law and Jurisdiction

These Terms and Conditions and any dispute or claim arising from them are governed by the laws of England and Wales.

The courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with these Terms and Conditions, the open call, the loan or display of a Work, or any associated sale.

14. Agreement

By submitting a Work to the open call, the Contributor confirms that:

• they have read and understood these Terms and Conditions;

• they agree to be bound by them;

• the information supplied in relation to the Work is accurate and complete;

• they have the authority to submit and loan the Work; and

• where the Work is offered for sale, they authorise AEVEN to market and administer its sale in accordance with Clause 7.

Any matter not expressly covered by these Terms and Conditions will be addressed reasonably and in good faith between the Contributor and AEVEN, with appropriate regard to the safety, integrity and successful delivery of the installation.
